Helping Staff Better Utilize the Parts Inventory System

woman-counting-inventory-e1395957124570Your parts inventory system and processes are useless if none of your employees use them correctly and/or consistently. No matter how much money, time, and effort you’ve spent building and implementing your software and processes to manage spare parts, it will be a waste of all those things if you can’t get your team on board.

And even if that’s your current state of affairs, it’s not too late to remedy the situation – there are proven strategies and techniques you can employ in order to increase utilization of your parts inventory system and processes.

Creating and facilitating an environment in which employees feel not only comfortable but encouraged to give feedback about your parts inventory system and processes is essential. This leads to better utilization and collaboration because the individuals who are using the system and processes on a daily basis are the ones who have some of the best ideas on how to improve it.

Naturally, there might be some limitations regarding the suggestions that staff members formulate as a result of budget restrictions or time constraints, but with some resourcefulness and creativity there might be alternatives similar to the staff suggestions that are plausible.

Keeping open channels of communication with front-line workers will make it possible for them to relay any additional ideas to help fine tune the major adjustments. It all leads to a sense of ownership and empowerment concerning the entire system and process.

As the system and processes are modified to better fit your organization’s usual patterns, you can transition to educating staff members about the changes that have been adopted. Providing frequent hands-on training that is tied directly to actual work scenarios – making it more relevant and therefore less boring – will equip employees with the skills they need to work effectively with the system.

Finally, providing incentives for efficiency and productivity highlights the value of keeping the parts inventory system running smoothly. Present the opportunity to staff members as a chance for them to enhance the system and processes that they use on a daily basis with the added incentive of valuable rewards for positive suggestions – even if they aren’t implemented.  And in order to make sure that the suggestion box doesn’t become a dumping ground for complaints is to make the requirement that any complaint needs to be accompanied by a suggestion on how to fix the problem being mentioned.

No matter how good your parts inventory system and processes are, however, there may come a time when you outgrow the system, either because of your volume of business increases or because other technology outpaces your advancement capabilities. When that time comes, it may be wise to upgrade to an enterprise resource planning (ERP) system that can grow exponentially with your business and adapt flawlessly to the changes you need to make to stay successful.
